How to use Fatma
What Fatma can do for your team, what she never does, and how to review her work.
Fatma helps clinic teams understand requests, prepare work, and complete approved administrative workflows. She appears where the work happens: Inbox suggestions, appointment actions, the command center, activity records, and operational insights.
The core rule is simple: AI understands, workflows decide, services execute, and humans stay in control where required.
Before you begin
An administrator should confirm the clinic profile, working hours, receptionist name, personality preset, approved Knowledge, and communication templates. Fatma uses these sources and does not invent missing clinic information.
Your actions always use your current Wareed permissions. If you cannot cancel an appointment manually, asking Fatma to cancel it is not a workaround.
What you can ask Fatma
- Find patients, appointments, conversations, and available slots
- Summarize a conversation or prepare a reply
- Book, reschedule, or cancel when clinic rules allow it
- Identify possible patient duplicates or shared phone numbers for review
- Prepare a reviewed bulk action in the command center
- Explain recent actions and items that need attention
- Find missing approved clinic answers
Use clear requests when possible. Include the patient, date, doctor, branch, or selected records that matter. Fatma also receives the current page when page context is available.
Questions about how to use Wareed come from a separate approved staff-help catalog. Product instructions are not mixed into the Knowledge used for patient conversations.
What Fatma does not do
Fatma does not provide medical advice, diagnose, perform medical triage, read unnecessary clinical notes, write visit notes (that is the visit scribe, which works only inside a visit and only with consent), merge patients automatically, invent availability, invent fees, or bypass permissions.
If a patient asks a medical question, Fatma explains that she can help with reception matters and routes the request through the clinic's human process.
How patient communication works
Fatma follows the patient's language where appropriate: Arabic, Egyptian Arabic, Franco, English, and natural mixtures. The patient sees the clinic's configured receptionist identity, never an internal model or provider name.
When a staff member is active, Fatma prepares suggestions instead of sending automatically. When staff are away, the clinic may use a server-side fallback timer so the patient receives a meaningful response. The response may acknowledge the request and arrange human follow-up when the request cannot be completed safely.
How to review Fatma
Open What Fatma Did Today to see handled conversations, bookings, reschedules, cancellations, handoffs, failed actions, suppressed reminders, and Cleanup items.
Open an activity item to review:
- What happened
- What the patient was told
- The relevant before and after state
- The evidence used
- Related conversation and appointment links
- Recovery or safe Revert actions when available
The activity view shows operational evidence, not private reasoning.
Personalizing your workspace
Workspace personalization lets you rename, reorder, group, or hide navigation for your account. A personal alias changes only your presentation. The canonical Wareed module and every permission stay unchanged.
Private Fatma memory can remember allowed work preferences and terminology. You can view, correct, forget, disable a category, or clear that memory. It does not become clinic Knowledge, and administrators do not get a hidden view of employee memory.
